Who we are
Alien Plant Control Ltd ("APC", "we") removes and controls invasive plants. We are the controller of the personal data described here and are registered with the Information Commissioner's Office (ICO). Contact us about anything in this notice at info@alienplantcontrol.com.
What we hold
Depending on the job, we may hold:
- your name, address, phone number and email address;
- what you tell us through our enquiry form, our WhatsApp link or by email;
- site photographs and notes;
- access details, such as gate and key-safe codes;
- quotes, invoices and payment records.
Most of this comes from you. Some may come from a letting agent, landlord, managing agent or neighbour where it helps us quote for or carry out the work. We need your contact and site details to quote for and do the work; without them we can't take the job on.
Why we use it, and the lawful basis
- To quote for, carry out and monitor the works and our guarantee: contract, including steps you ask us to take before a contract. Our guarantee is a minimum of five years and can be renewed after that at £50 + VAT a year, up to 20 years in total.
- Tax, VAT and accounts: legal obligation.
- Running and protecting the business, such as keeping a record of the work done, dealing with complaints or disputes, and keeping our systems secure: legitimate interests.
- Site photographs: we take them as a record of the works. We use photos that could identify a property or a person in our marketing only with your consent, which you can withdraw at any time by emailing us. We blur house numbers and number plates where we can, and we don't publish photos of people.
We don't make decisions about you by automated means alone.
Who we share it with
Only as needed:
- our own staff and subcontractors working on your job;
- service providers who handle data for us: Google (files and email), Meta / WhatsApp via 360dialog (messages), Cloudflare (message handling), SumUp (card payments), Webador (our website host) and AI-assisted admin tools that help us handle messages and paperwork;
- our accountants and professional advisers, waste carriers where needed for the job, and HMRC or other authorities where the law requires.
We never sell your details.
Outside the UK
Some providers process data outside the UK, including in the United States. Where they do, we rely on UK-approved safeguards, such as the UK–US data bridge where the provider is certified, or the ICO's international data transfer agreement or UK addendum.
How long we keep it
- Job and guarantee records: for the life of the guarantee, including any renewals, plus six years (26 years at most).
- Financial records: six years.
- Enquiries that don't go ahead: two years.
- Gate and key-safe codes: deleted once they're no longer needed for visits.
Some records must be kept by law even if you ask us to delete other details.
Your rights
You can ask to see the personal data we hold about you, and to have it corrected or deleted. You can also ask us to restrict how we use it, object to how we use it, get a copy in a portable form where that applies, and withdraw consent for marketing photos. Email info@alienplantcontrol.com. We'll reply within one month.
